Golf Booking Conditions

Confirmation of Start Times

On receipt of your order we will process the booking and expect to be able to confirm start times to you within 2 working days, except:

  • Single players are often not confirmed until a few weeks before play, as the courses match single players with three-ball
  • Penina and Vale do Lobo - often only confirm start times 3 months before play
  • Sheraton Pine Cliffs – at certain times accept pre-booking only 48 hours in advance
  • When a golf course has not yet started processing bookings for the next golf season
  • When bookings are on request to the golf courses

We then have a limited time to accept and secure these times on your behalf and therefore need your confirmation that the times are acceptable:-
  • within 7 days for start times received 6 weeks or more in advance
  • within 1 day for start times received less than 6 weeks in advance

Occasionally, due to availability on the golf courses, especially during peak season, we may need to change the order of the courses around to suit your preferred golf itinerary. However should your booking cover different date periods, this may affect the total cost of your booking.

We will normally communicate with you by e-mail, but since e-mails are not always reliable, please ensure we have a phone number or mobile as well.

Once we have confirmed golf start times that are acceptable to you, your payment is needed to secure the booking.

Golfers Teeing Off

The courses always reserve the right to make up all flights to 4 balls and have to do this to meet demand most of the time. We can indicate your preference to the courses but there are no guarantees.

Junior Golfers

If your golf group includes juniors please tell us. The number and age of junior golfers should be indicated when you ask us to proceed with a booking. Juniors must present proof of their age when checking-in at the golf course and must play accompanied by an adult.

Golf Vouchers

Once your booking is finalised you will receive a Booking Reference number.

We will then be meeting you on arrival at the airport, where you will receive your golf vouchers and directions to the courses. For this reason we need full flight details:
Arrival date, time and flight number i.e. airline 2 or 3 letter code followed by a 3 or 4 digit number.

We offer no alternative delivery service - experience has shown all other procedures to be less reliable than meeting our clients.

Currently we do not meet our guests in the North. Golf vouchers will therefore be sent directly to the golf course.

Handicap Certificates

Most courses require men to have a handicap of 28 and ladies 36. Some have more stringent requirements. (The handicap requirements of all courses are shown on our website.) You will therefore need to have your certificate available when you arrive at the golf courses. No certificate, or a handicap higher than permitted on the course, really does equal to no play and no refund on some courses.

Soft Spikes

Golf shoes are essential and most courses require players to wear soft spikes on their shoes. These courses also offer a service, with a small charge, to change your spikes. Our advice, once you have had your spikes changed, retain them for the duration of your golfing holiday.

Buggies (Electric Carts)

The prices quoted for your golf do not include the price of a buggy.

At some courses, buggies are hired at the course on a first come basis and so it is not possible to pre-book them. Only occasionally do the courses run out of them.

Nevertheless it is becoming more and more frequent for courses to allow us to pre-book buggies. Some courses allow these to be paid to us in advance and others require buggies to be paid locally. In this instance we cannot guarantee the booking once it is not paid to us.

Most of the 9-hole courses do not have buggies available.

Some of the courses do not allow buggy hire when the weather is bad.

Golf in the Sun

Many courses have a strict dress code and refuse to let clients play if they are dressed inappropriately. Tailored shorts and collared shirts are the accepted "summer" standard. Long socks are not necessary.

Course Closures & Refunds

Very occasionally a course is closed due to bad weather. Under these circumstances if the course cannot offer you a suitable later starting time or book you on an alternative date they will endorse your golf voucher. This should be returned to Quo Vadis and we will arrange a refund. (If the weather is bad and the course decides not to close, it is still worth going to the course reception to see what suitable arrangements can be made).

Payment & Cancelation

We require payment to secure your start times and will provide with the necessary details. You may opt to pay the full amount when the tee times are confirmed or a 25% deposit with remaining amount due 6 weeks before arrival.

We accept bank transfer or credit cards – VISA or Mastercard only. If your arrival is within 10 days, we only accept credit card payment.

Should you choose to pay by credit card a surcharge of 2% will be added to the total amount at debit stage. If you decide to pay by bank transfer you will have to support all transfer costs.

Please note that we guarantee to the golf courses payment of all pre-booked golf. We therefore:

  • up to 6 weeks before travel we refund the cost of golf but do not refund the 12 Euro cancelation fee and credit card surcharge
  • can usually give no refunds for whatever reason you cannot play booked golf if you give less than 6 weeks’ notice or “no show”

If you do have to cancel your holiday after the 6 week deadline it is always worth letting us know. We can sometimes resell the golf and will then give you a refund.

Contact Details

Throughout the booking process we will continue to contact you via your e-mail address. However, occasionally e-mail communications break down. If you have not given us an alternative method of contacting you, we suggest you do this. Also, If there is a chance we will be trying to contact you with start times when you will not be reading your e-mails, please warn us of this and if possible suggest how we should contact you in this circumstance.

Very occasionally golf courses change start times at the last minute. To contact you on resort we need a mobile telephone number or telephone number at the property where you will be staying.

Car Hire Conditions

Car Prices and Extras

Our prices include:

  • Collection and return of cars at the airport
  • Driver plus 2 extra drivers free
  • Unlimited mileage
  • All necessary insurances and taxes.
  • Insurance cover for clients driving in Spain

The car hire insurance is null and void once the car leaves Portugal or Madeira/ Azores Island.
None of our cars can be fitted with roof racks.

Extras are paid for locally:-

  • Out-of-hours collection and return of cars
  • Child seats
  • Insurance to limit excess
  • Personal accident insurance
  • Tolls for highways with Electronic Tolls

Out of Hours

If you collect or return your car out of hours you will be charged an additional fee of 35 Euro including tax in Algarve/ Lisbon (36.90 Euro in other areas).

The car hire representative is available from 07:00 - 24:00 (06:00 – 01:00 Madeira/ Porto/ Azores).

Child Seats

Child seats need to be pre-booked and you must let us know this when you book. Cost is 5 Euro per day/ per seat including tax in Algarve/ Lisbon (11.07 Euro in other areas). The car hire company will charge for this locally when you pick the car up. We advise clients to bring their own. Most airlines do not charge excess baggage on child seats.

It is your responsability to check that car seat is in place and child is in safty.

Drivers

The minimum age for drivers is normally 21. Arrangements for other drivers under 21 are available on request at an additional cost and must have held a valid driving license for 12 months, unless when it is a 7 or 9 seater vehicle where it is required 2 years of driving license. Cost is approximately 75 Euro in Algarve/ Lisbon (92.25 in other areas).  Drivers for special car types must be 25.

All those intending to drive a vehicle should present their driving licenses and passports when collecting the vehicle.  Driving licences issued in the European Union and International Driving Licences are accepted. It is possible to arrange for additional drivers at an additional cost of 10 Euro per driver in Faro/ Lisbon (other areas cost is on request).

Car Insurance

Insurance cover is subject to an excess and your maximum liability is dependent on the car you hire. The excess for each car varies is shown on our website under each car type. This excess is payable if:-

  • The car (tyres, windows, keys etc.) is damaged or lost, except if as of a result of an accident caused solely by another driver
  • he driver causes damage to other cars resulting in a claim
  • If the terms and conditions of the car hire contract are violated, the insurance cover is invalidated. It is a term of the contract to report accidents to the police.
  • It is possible to take out an additional insurance with the car hire company on arrival at the airport to avoid paying excess. The cost per day is shown on our website under each car type.

This additional insurance excludes:-

  • Damage to cars while under the influence of drugs or alcohol
  • Damage to tyres, wheels, roofs, windows, car interior, undercarriage
  • Wilful damages
  • Lost keys

We work with several car hire companies and all regularly replace the cars in their fleet. This has the effect that all cars are relatively new and the actual models offered do change. The models stated above are indicative only. You may be given another model similar to those stated.

Collection

Cars are collected from the airport car park in mainland Portugal and islands. A local deposit is required for the insurance excess and for petrol. The car hire company takes this deposit from you on arrival and returns the deposit when you return the car undamaged and with the same amount of petrol.


Car Delivery to Accommodation

We need full details of your car delivery requirements to confirm the price quoted and arrange the delivery. It is sufficient if you tell us you are staying in a major hotel. If you are requesting delivery to other accommodation, we will need the full address and a contact phone number.

We arrange free delivery of cars within the holiday resorts in Algarve. In Lisbon and other areas this is on request and there is an additional charge (cost is on request).


Electronic Tolls

There are highways in Portugal that use electronic road tolls (Scut Tolls) with no facility to pay locally. For this reason, the car hire company will include a device in your car hire to detect the usage of highways with electronic tolls.

They will request locally on your arrival an obligatory credit card payment of 20 Euro per car (15 Euro to cover for any toll use plus 5 Euro administration fee) for car rental in the Algarve/ Lisbon (For other areas in Portugal this works differently and cost is on request).

Once the device takes a few days to update after each time you drive through an electronic toll, the car hire company will only be able to verify the correct reading after you have returned home, to ensure no usage was done on your last day and will action as follows:

  • If the value exceeds the amount of 15 Euro for the use of these highways, the car hire company will debit your credit card for the difference, up to 15 days after your departure date.
  • If the value is less than 15 Euro, no refund is available.
  • If you do not use a highway with electronic tolls at all during your stay, the car hire company will refund your credit card the full 20 Euro, up to 15 days after your departure date.

Any damages or loss of the device incurs an extra cost of 50 Euro paid to the car hire company.

In Madeira, Azores and Porto the Electronic Toll Service is subject to the local payment of 1,85 Euro per day up to a maximum of 18,45 Euro. All electronic toll passages will be charged to the credit card afterward, once the device takes a few days to update after each time you drive through an electronic toll. The car hire company will only be able to verify the correct reading after you have returned home, to ensure no usage was done on last day.


On Resort

When the car is collected all drivers need their passport and driving licence and should sign the contract with the car hire company. A local deposit is required for the insurance excess and for petrol. The car hire company takes this deposit from you on arrival at the airport and returns the deposit when you return the car undamaged and with the same amount of petrol (in Porto/ Madeira/ Azores an additional service charge is applied if petrol is not the same amount). In Faro & Lisbon, the car will only have a quarter tank. Should you require half or full tank, this is possible at an additional cost. Because the deposit must be paid in Euro most clients complete a credit card voucher, which the car hire company later returns to the client to destroy.

Also when you collect your car, any extras ordered are paid for and additional insurances to cover excess and personal risks can be purchased.

In Porto/ Madeira/ Azores, all credit card payments are subject to a surcharge of 4.31 Euro including Iva. For any fines received after you have left, will be charged to your credit card plus an administration fee of 30.75 Euro.

Our car hire companies do offer a high standard of service and try to ensure that all clients are satisfied. They avoid as far as possible renting out cars that have any damage. However problems do occasionally occur. Your contract will identify the amount of petrol in the car and any minor damage on it. Please check the contract, the petrol gauge and car carefully and immediately report any error.

If you have any problems with your vehicle during your stay in Portugal, you should contact the car hire company. However, if they fail to resolve a problem, you will have the phone number of our partner in Portugal who you should contact to ensure all problems are dealt with on resort. In the case of an accident you must call the police. The car hire company should be notified of any accident within 24 hours.


Booking a Car with Quo Vadis

When we have received your payment and have a booking reference for you from the car hire company, we send you this reference number together with full instructions for collecting the car and contact details of our partners in Portugal.


Payment

We require prepayment for cars. This should be made at least 14 days before arrival and we accept payment by credit card - VISA, Mastercard and Eurocard only. We need the number of the card, proof number from the back of the card, expiry date, precise name of the cardholder on the card and the cardholder's postal address. A credit card  surcharge of 2% will be added to the total amount at debit stage. We recommend credit card details are not included in e-mails and we will request payment when the car booking is confirmed.


Cancellation Policy

Cars booked with us can be cancelled as follows:-

  • up to 24 hours before arrival, we will refund all cost, except 12 Euro cancelation fee.
  • from 24 hours before arrival, we will refund the difference between what you have paid and our minimum car hire charge for the car booked.

Any change resulting in cancellation of part of the car hire:-

  • before arrival, we will refund the difference in the initial and new hire costs and charge a 12 Euro cancelation fee.
  • after arrival for cars initially hired for 7 days or less, we will give no refund.
  • after arrival on cars hired for 8 days or more, we will refund for the cancelled period minus two days, as long as you have given at least 24 hours notice that you are returning the car early, e.g. you paid for 14 days, you tell our representatives on day 7 that you will return the car on day 8, we will refund four days car hire, you will have paid for a 10-day car hire.

Please note we have a minimum car hire period of 4 days and hires of less than one week have a higher than average daily charge.

If you wish to extend the car hire period, subject to availability of the car:-

  • before arrival, we charge the cost of the additional days car hire.
  • after arrival, our representatives in Portugal need a minimum of 48 hours notice to arrange this for you, we charge the cost of the additional days car hire.

Travel Insurance

We advise clients to ensure that they have adequate travel insurance to cover such things as:-

  • personal risks
  • cancellation costs
  • additional costs associated with travel delays

Who are we?

Quo Vadis Travel & Services, originally established in Germany, provides a booking service for accommodation, car rental, transfers and golf in Portugal from our websites and through links from associates’ websites. Your personal data will be used exclusively for making the respective reservation and payment. Your contact information will also be used for sending you information regarding current promotions on our monthly Newsletter after you opt-in. You can change your personal data whenever you wish, simply by contacting us at quovadis@qvts.com.

When you return home, we may ask you for your opinion on the services that were provided to you, which will allow us to improve our services. Your comments on the golf courses may also be posted on our website to help other golfers.

We do not knowingly collect personal information from individuals under 18 years of age and parents or legal guardians should not allow this without permission.

Your data will not be transmitted to third parties, except from what is described below:

  • Once booking requirements are finalised, your booking details & name will be passed onto our trusted third party, through who bookings are made. They have contractual agreements with several Portuguese suppliers to provide you with this service.
  • When you interact with us through associate websites and submit a booking request, both we and the Associate website will receive a copy. This will help us deal with the booking and the Associate website control how many requests their site is producing and understand the type of request are being made. They may also use your contact information to get consent to send you Newsletters or offer you their products. Please take the time to read their Privacy Policy to understand how they handle your personal data.
  • We use service providers to process personal data on our behalf, like sending you Newsletters, which we can only access via a secure log in. These service providers are bound by confidentiality clauses and are not allowed to use your personal data for other purposes.

Security

To guarantee the security of your data and maximum confidentiality, we treat all the information that you provided us in a fully confidential manner. Whenever your credit card information is requested, that communication takes place through a SSL (Secured Sockets Layer) safe line, considering you are using browsers that allow for SSL, such as Microsoft Internet Explorer & Netscape Navigator. We also use SSL on all pages where personal information is requested from you, which means that your information will be sent via the Internet in an encrypted form. Your personal data will be retained for the period needed to interact with you during your booking and for as long as long as you return to book with us.
Credit card details are securely deleted after you return home from your Portugal golf holiday.

Your personal data is protected behind our appropriate business systems, along with website hosting provider’s firewall and email provider’s firewall. Nevertheless, please ensure you also use protection measures (antivirus, firewall, etc.) when you navigate online. If you feel this is not sufficient, then please do not provide any personal information or let us know and we will dispose of the information in a securely manner.

Your Rights to your Personal Data

  • Restrict the level of processing or object to automated processing

Who we are

Quo Vadis Travel & Services, originally established in Germany in 1998, provides a booking service for accommodation, cars, transfers and golf in Portugal from our website and through links from associates’ websites. Once requirements are finalized, bookings are made through PAG Serviços Golfs Lda (PAGS) in Portugal with Alvará Agência de Viagens No: 1001/1999, who take great care with the selection of suppliers and the standard of the service provided. All payments are made to PAG Serviços Golfs Lda who will meet you on arrival and give you your vouchers.
